Dental Health Group Australia (“DHGA”, “we”, “us” or “our”), ABN 79 931 858 718, is committed to protecting your privacy. We handle personal information — including sensitive health information — in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains what information we collect, how we use and protect it, and the choices and rights you have. Because we provide dental assessments and reports to support Department of Veterans’ Affairs (DVA) claims, much of the information we handle is sensitive health information, which we treat with particular care.
1. The information we collect
Depending on how you interact with us, we may collect:
- Contact and identity information — your name, email address, phone number, and (where relevant) date of birth.
- DVA and service information — your DVA card type (Gold/White) or file number, and details relevant to your military service and claim.
- Health and dental information (sensitive information) — your dental and medical history, current conditions, medications, dental records, and diagnostic imaging such as OPG x-rays.
- Information from third parties — information provided by your advocate, referring organisation, GP, or other health professionals, where relevant to your assessment.
- Website information — limited technical data (such as your IP address and browser type) when you visit our website, used to keep the site secure and working.
2. How we collect your information
We collect information directly from you wherever possible — through our contact form, by phone or email, and during your consultation and assessment. We may also collect information from third parties you have authorised, such as your advocate or referring organisation, your GP, radiology providers, or other health professionals involved in your care or claim.
3. Why we collect and use your information
We collect, hold and use your information to:
- assess your dental health and identify potential service-related dental conditions;
- prepare dental assessments and professional reports to support your DVA claim;
- arrange diagnostic imaging and request relevant information from other health professionals;
- communicate with you, your advocate, or your referring organisation about your assessment and claim;
- respond to your enquiries and bookings; and
- meet our legal, regulatory and record-keeping obligations.
4. Consent to handle sensitive information
Sensitive information, including health information, is only collected with your consent (or where otherwise permitted or required by law), and is used only for the purposes for which it was collected, directly related purposes you would reasonably expect, or as required by law. By providing your health information to us — or authorising another party to do so — you consent to us handling it as described in this policy.
5. Who we disclose your information to
We do not sell your personal information. We may disclose it, with your consent or as permitted by law, to:
- The Department of Veterans’ Affairs (DVA), where relevant to your claim;
- treating and assessing practitioners, radiology/imaging providers, your GP and other health professionals involved in your assessment or care;
- your nominated advocate or referring organisation;
- our service providers who help us operate — for example our customer-relationship/CRM and email providers, IT and website hosting providers — under obligations of confidentiality; and
- regulators, courts or other bodies where required or authorised by law.
6. Overseas disclosure
Some of our service providers (for example, certain CRM, email and website-infrastructure providers) may store or process data on servers located outside Australia, including in the United States and other countries. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the APPs.
7. How we protect your information
We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure — including secure storage, access controls, and encrypted connections on our website. No method of transmission or storage is completely secure, but we work to safeguard your information at all times.
8. How long we keep your information
We retain your information for as long as necessary to provide our services and to meet our legal and professional record-keeping obligations. Health records are generally required to be kept for a minimum period set by law (for adults, typically at least seven years from the date of last contact). When information is no longer required, we take reasonable steps to securely destroy or de-identify it.
